Mailbox Policy |
Approving a policy concerning replacement of mailboxes impacted by snow removal |
operations. |
Tross: survey was to be taken so that we can see what is out there. Frerichs: I don't |
see a problem with this type of mailbox on a residential street where speed limit is lower. |
Murphy: I do not see the difference between a tree, a pole, etc. and my mailbox. |
Discussion ensued. Tross: why are we sending out letters to these people? Are we |
singling them out? Anderson: no, these letters are only sent out when we get a |
complaint, etc. regarding a structure in the right-of-way. Tross: the Murphy's were not |
part of the survey that we are doing? Anderson: we were informed about the structure |
in the right-of-way from Community Development or another source. It was brought to |
our attention and we had to investigate it. Kuehl: a structure like this would need to |
have a permit. It is a permanent structure. If you would have applied for a permit, it |
would have been stopped right away. Tross: let's take the policy first. Explain to the |
committee how you intend to tell people about violations. Anderson: if it is just a |
distance issue we will have a form letter or door hanger that we will distribute. Tross: |
are you surveying the entire rural route of Lombard? Anderson: we will have to. Kuehl: |
we are trying to protect the Village here. Tross: was that the intent of the committee? |
Consensus of the committee was yes, that was the intent and want to bring this policy |
back to the board. |
Tross: what can we do about the Mrs. Murphy issue? Anderson: it will have to be |
brought to the board requesting a variance. Staff cannot do this, it needs to be |
approved by the board. Tross: asked Anderson how to obtain variance/how to appeal. |
Dratnol: staff can address the issue with Tom Bayer. Mahal: letter does say "30 days"; |
is that enough time to handle this? Anderson: normally if code enforcement sends the |
letter, the resident is given only 10 days. We would need to create a memo to address |
the issue. There are certain instances that staff does have the power to issue a |
variance. We will have to look into this ordinance specifically to see what we can do, if |
anything. Tross: directed staff to bring this issue back to the next meeting with |
information about variances. |

to the Board of Trustees for Approval. The motion carried by a voice vote |

Anderson: reviewed this item with Committee members. Tross: has this already been |
approved in the budget? Anderson: yes. Kuehl: don't we have something similar to |
this? Anderson: similar but this is much more conceptual. |

Tross: informed committee members that they have all been re-appointed for another 2 |
years. There has been much discussion at the board level about committee members. |
Committee members are not official representatives of the Village. Any issues need to |
go through the committees. Tross: need PWC members to volunteer on the |
Community Forum. This is the second go around. Would like 2 members from this |
committee. Forum is being held on Saturday, October 27th. Frerichs will check his |
availability. John Kaforski and Dave Arnold were volunteered for the assignment. |
Anderson: announced that he is taking a position as Public Works Director in |
Greenville, NC. Last day will be 11-7 to 11-9. |
